What Is Accounts Receivable Aging Analysis?
Accounts receivable aging analysis is a method for grouping unpaid customer balances by how long they have been outstanding. A typical review separates current receivables from amounts that are 1–30, 31–60, 61–90, or more than 90 days old. Finance, accounting, credit, and operations teams use the view to understand overdue exposure and decide which balances deserve follow-up.

The weighted average uses representative ages of 0, 15, 45, 75, and 105 days for the five buckets. It is an estimate for comparison, not an invoice-level due-date calculation.
Tip: Compare the overdue percentage with your internal collection priorities, then verify individual invoices before making account-level decisions.
How to Use This Tool Step-by-Step
- Collect the unpaid receivable balances you want to review and make sure each amount uses the same currency and reporting date.
- Enter the amount that is current, meaning it is not yet overdue, in the first field.
- Place overdue balances into the 1–30, 31–60, 61–90, and more-than-90-day fields according to your aging report.
- Select Calculate aging analysis to see total receivables, overdue exposure, weighted average age, and each bucket’s share of the total.
- Use the output as a review summary, then investigate the invoices behind the largest or oldest balances.
How Accounts Receivable Aging Analysis Works
The calculator adds all five balances to determine total receivables. It then adds every overdue bucket to determine overdue exposure and divides each bucket by total receivables to calculate its share. The weighted average age provides a single approximate age by weighting each bucket’s balance by a representative number of days.
Overdue exposure = 1–30 + 31–60 + 61–90 + over 90
Bucket share = bucket balance ÷ total receivables × 100
Weighted average age = Σ(bucket balance × representative days) ÷ total receivables
This structure is useful when a team needs a fast summary before moving into invoice-level review, finance data analysis, or a more detailed receivables analytics workflow.
Example Accounts Receivable Aging Results
These examples show how the same total balance can have different risk profiles depending on where the receivables sit. The examples are illustrative calculations using the methodology above.
| Scenario | Bucket inputs | Total | Overdue | Approx. average age |
|---|---|---|---|---|
| Mostly current | $8,000 / $1,000 / $500 / $250 / $250 | $10,000 | $2,000 | 8.25 days |
| Mixed aging | $4,000 / $2,000 / $1,500 / $1,000 / $1,500 | $10,000 | $6,000 | 36.75 days |
| Older exposure | $1,500 / $1,000 / $1,500 / $2,000 / $4,000 | $10,000 | $8,500 | 65.25 days |
When to Use This Tool
- If you are preparing a monthly finance review, use this tool to summarize receivables by age before discussing individual accounts.
- If you are comparing collection exposure across reporting periods, use this tool to calculate consistent bucket totals and percentages.
- If you are reviewing a large spreadsheet, use this tool to create a quick high-level check before deeper spreadsheet audit.
- If you are prioritizing collection work, use this tool to identify whether the balance is concentrated in current, moderately overdue, or older buckets.
- If you are building a repeatable finance process, pair the summary with receivables automation and source-document review.
Limitations & Assumptions
- The calculator uses balances that you enter manually; it does not import invoices, customer records, payment history, or accounting-system data.
- The weighted average age uses representative bucket ages rather than the exact age of every invoice.
- The more-than-90-day bucket is treated as 105 representative days solely for the weighted-average estimate.
- The output does not estimate bad debt, expected credit losses, disputed invoices, currency effects, payment terms, or collection probability.
- Aging results are only as current and accurate as the balances and reporting date used as inputs.
